Client Engagement & Relationship Policy
At the heart of our professional ethos is a commitment to mutually respectful and constructive relationships with clients. This policy outlines the principles that guide our interactions, so work can be handled in a harmonious, productive and ethically sound way for both clients and our team.
The purpose of this policy is to uphold high standards of professional conduct while nurturing trust, respect and accountability throughout the service relationship.
Section 1 — Commitment to a Respectful Working Environment
Aubrey International is committed to maintaining a working environment where all staff, consultants and clients are treated with respect, dignity and professionalism.
Prohibited behaviour includes verbal abuse, harassment, threats, deliberate falsehoods, passive-aggressive statements, sarcasm used to belittle, veiled hostile joking, backhanded compliments, subtle insults, misuse of emojis or punctuation to convey aggression or contempt, intimidation, discrimination, excessive or unreasonable demands, inappropriate communications, and demands for immediate responses without allowing a reasonable response time.
Staff who experience or witness behaviour that appears to breach this policy may report it internally. Reports will be reviewed discreetly and appropriate action will be taken.
Section 2 — Consequences for Policy Breach
Where a potential breach is reported, Aubrey International may carry out a preliminary review and, where necessary, a more formal review.
If the concern is substantiated, Aubrey International may take appropriate action, including mediation, a formal warning, adjustment of communication channels, refusal of further work or immediate termination of services.
If services are terminated because of a policy breach, the client remains responsible for fees and costs incurred up to the point of termination.
Section 3 — Service Cancellation and Charges
Services may be cancelled where there is non-compliance with this policy, non-payment of fees, or another significant breach of agreed terms of engagement.
Where work is cancelled, an itemised statement may be provided setting out work completed up to the cancellation point and the corresponding charges.
The client remains responsible for outstanding fees detailed in the final billing statement.
Section 4 — Legal and Contractual Standards
This policy is intended to support a respectful, safe and legally compliant working environment and to sit alongside any written engagement terms agreed with the client.
Aubrey International may review and update this policy as working practices, legal requirements or client needs change. Clients are informed of the policy at the start of the relationship where relevant and are expected to follow it.
